Job Overview

We are seeking a detail-oriented Operations Coordinator to join our Professional Support team. In this role, you will be instrumental in supporting the smooth functioning of our firm's operations, coordinating administrative activities, and ensuring our professional staff and clients receive exceptional support. This position requires strong organizational skills, an ability to manage multiple priorities, and excellent communication skills.

Experience

2-3 years of administrative or operations experience, preferably in professional services

Education

Associate's or Bachelor's degree, preferably in Business Administration or related field

Technology

Proficiency with Microsoft Office Suite, experience with practice management software a plus

Primary Responsibilities

Coordinate and manage the flow of client documents and information between clients and professional staff.

Maintain and organize electronic and physical filing systems for client information and engagement documentation.

Assist with client onboarding processes, including setting up client files and gathering necessary documentation.

Schedule and coordinate client meetings, including preparation of meeting materials and follow-up documentation.

Manage the firm's secure client portal, including user access, document uploads, and client support.

Assist with preparation and formatting of client deliverables, including financial statements and reports.

Support engagement teams with administrative needs throughout the audit, review, or compilation process.

Monitor and track engagement progress against deadlines and alert managers of potential scheduling issues.

Other Functions

Assist with internal firm events, including planning, coordination, and logistics.

Support the firm's marketing efforts, including helping with newsletters, presentations, and client communications.

Provide administrative support for professional development and training programs.

Perform other administrative duties and special projects as assigned by firm management.

Knowledge Preferred

Understanding of general office procedures and administrative practices.

Familiarity with professional services firm operations is a plus.

Knowledge of basic accounting terminology is beneficial but not required.

Skills Required

Excellent organizational skills and attention to detail.

Strong written and verbal communication skills.

Ability to prioritize tasks and manage multiple deadlines effectively.

Proficiency with technology, including Microsoft Office suite and document management systems.

Strong client service orientation and professional demeanor.
